4K a year 14 hours ago 14 hours ago 14 hours ago Summary The Administrative Assistant reports to the Assistant Administrator and provides support to the Central Administration Office by attending to visitors, answering calls and supplying information or direction to the general public, patients, physicians, staff, business partners and vendors.
The candidate will support the executive staff as needed and adhere to the State of Franklin Healthcare Compliance Program, to include the Code of Ethics and Business Standards by following professional conduct, dress code policy, maintaining patient, provider and staff privacy and confidentiality.
Essential Duties and Responsibilities Performs general clerical or administrative support to the office, including copying, faxing, filing, preparing memos and correspondence, packets or other similar duties.
Answers phone; screens and directs calls; greets and directs visitors; and responds to inquiries or routes inquiry to the best person to answer.
Takes and relays or distributes messages.
Monitors visitor access and maintains security awareness.
Receives, sorts and distributes incoming mail, faxes and deliveries.
Ensures reception area, kitchen, and conference rooms are tidy and stocked.
Schedules and arranges appointments, meetings, and conferences rooms.
Picks up, delivers and arranges lunch or refreshments as directed.
Orders office supplies, drinks and snacks, manages the office supply storage area and arranges for maintenance of office equipment.
Coordinates disbursement and reimbursement of petty cash.
Orders and maintains publications for office.
Reconciles and codes invoices generated by office.
Assists with compilation, distributes and/or delivers items and packets to other locations; runs miscellaneous errands as needed.
Selects, orders and distributes appropriate occasional gifts and cards.
Other Compiles information and prepares reports.
Maintains records.
Participates in educational activities.
Follows organizational policies and procedures, including State of Franklin Healthcare Associates Compliance Manual, Code of Ethics and Business Standards, HR Policies and Procedures Manual, Team Member Handbook, OSHA Manual and any other policies or procedures for the job function, department, location or clinic.

Qualifications Education High school diploma required.
Associates or bachelors degree is desirable.
Experience Knowledge of computer systems and applications.
Skill in planning, organizing, maintaining schedules, and multitasking.
Skill in exercising initiative, judgment, problem solving, decision making.
Ability to communicate effectively in writing and verbally.
Ability to communicate clearly.
Two or more years of related office or receptionist experience required.
Must be proficient in Microsoft Office, Word, Excel, PowerPoint; use of telephone system, zoom, and operation of standard office equipment.

Working Conditions Work is performed in a medical office environment involving contact with patients, physicians, staff, insurance carriers and other business partners.

The check will bounce and the victim is left responsible.
