Program Support Asst (OA)

The position is in Mental Health Service at James H. Quillen VAMC. The incumbent is responsible for a remarkably broad range of administrative and clerical duties associated within Mental Health Service. The position performs duties to assist the Associate Chief of Staff, Mental Health, in addition to other staff members of a large clinical service with a broad range of programs across multiple sites. The position is the principal clerical and administrative support position in Mental Health, operating independently of any other such position in the service. The duties require knowledge of clerical and administrative procedures and requirements, various office skills, and the ability to apply such skills in a way that increases the effectiveness of others. The incumbent is responsible for utilizing office automation equipment to prepare correspondence, documents and reports; work performed requires the services of a qualified typist and proficiency in a wide range of office software packages. The incumbent functions in collaboration with the Administrative Officer in providing support to diverse programs within Mental Health as a whole. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Specialized
Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Providing administrative support in a clinical setting, working independently in the accomplishment of a wide variety of administrative responsibilities associated with maintaining and supporting the administrative and clinical work performed, maintaining files and accurate records, setting priorities, organizing and adjusting work flow and meeting deadlines; preparing documents and running reports, utilizing software programs, updating schedules regularly. Experience using automated software applications such as Microsoft Office Suite (Word, Excel, and PowerPoint); data entry into tracking systems; reports summarizing findings from tracking systems to be submitted internally and externally; prepare in final format memoranda, letters, meeting notes, and other documents; maintain files and suspense; coordinate meetings; maintain calendars/schedules; receive/route mail and telephone calls; travel preparation; timekeeping; and maintains supplies and equipment. Experience:
VATAS experience preferred. Strong written and verbal communication skills required. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. The work is primarily sedentary; however, some walking is necessary to deal with emergencies or special needs, carrying materials and supplies, confidential files and materials, books and/or other publications. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
